I learned this the hard way when I bought an expensive subscription to the CRM monster that is Pipedrive. No doubt, it was brilliant—I could track every stage of my sales leads journey and never miss a trick. It was much better than Excel, as it prompted me to take the next steps and push leads through the sales funnel. But setting it up took ages and a ton of money. Ultimately, I realised that for the amount of data I was putting through the system, I could have found a simpler, cheaper option.

Streamlining operations isn’t just about tech—it’s about understanding where your business is heading. Take time to review your processes and identify bottlenecks. Are you spending hours on admin that could be automated? Are outdated methods slowing down your team? A clear vision of your business journey helps you focus on the changes that truly matter.

A great way to map this out is by using a workflow chart to visualise the necessary (and unnecessary) steps within your business at its current stage. Being a visual person, I like using Miro—it’s cheap, easy to use, and great for planning things like customer journeys or website design. Once you have your processes mapped, you can set up an action-tracking tool like Trello to monitor steps in a project or sales funnel. Plus, moving tasks into the next column gives you that little dopamine hit—a nice motivator to keep you going!

Stay Focused on Priorities, Not Just Data

Too much data can become a distraction. Businesses often fall into the trap of tracking everything without using it effectively. Ask yourself:

Does this data help me make better decisions?

Is it improving efficiency or just taking up time?

Focus on the metrics that drive revenue and operational success, not just collecting data for the sake of it.

Every penny counts in business, so keep a sharp focus on costs. Instead of expensive software, look for free or low-cost alternatives. Reduce wasted spending on subscriptions or tools you don’t fully use.
